Why Your Meeting Should Have Been an Email

Last week I gave indicators that your email should have been a meeting. There are times when a push for efficiency via email backfires and actually creates more work. In those times, a meeting would have been more effective and more efficient.

However… there are times when a meeting is really a waste of time. When you consider the value of time, an unnecessary meeting is poor stewardship. When you calculate the time of every person in a meeting, meetings are not small investments. Thus, an unnecessary meeting robs energy and time from something else much more important. Some meetings could have been an email. Here are three indicators:

1. Monologue on operational matters

If a meeting is someone giving a monologue on tactics, the meeting could be an email. There are times when a leader or team member gives overarching direction, shares vision, or clarifies mission and values. In those moments, a passionate monologue can be effective. But a meeting is not the best venue for a running commentary on operational matters.

2. Information without any action

If a meeting is one long FYI, the meeting should have been an email. If a meeting is information without action, an email is just as effective and exponentially more efficient. If people can leave a meeting without action steps, an email would have been better.

3. Being unengaged is acceptable

If it is acceptable for people to come to a meeting and passively stare through the presenter while also engaging on their devices, the meeting should have been an email. Clearly the meeting is seen as just something else on the calendar and not something people feel deserves their full attention and engagement. If the meeting is deemed to be truly valuable, people are expected to engage. If the meeting is not valuable, value people’s time enough to cancel it.

Little focus on biblical study, apologetics and genuine missional work with no agenda besides preaching of the gospel.

The “One-Anothers” of Social Media

How can we avoid the potential distraction of social media and use it to really advance our mission?

 

As a leader, you can only influence those whom you can reach (Rick Warren). The social media platforms in use today – and the ones that will be developed tomorrow – allow you to extend your reach and listen to the people God is calling you to serve and disciple.

The danger is that a beginning trickle of social media communication can become a flood of unfiltered information that will wash you away unless you channel it into a useful tool for the irrigation and growth of your message. What are some of the solutions to do keep all of your social media focused?

Solution – See social media through the lens of “one another.”

A SIMPLE SOLUTION

God approaches us, seeks us, and searches for us. He offered His Son so that we might be reconciled to Him. In turn, God expects us to reconcile others. From one relationship to another, God wants us to reach others.

Social media isn’t an escape from the real world. It is the real world, whether we are ready for it or not.

God is the great designer who has masterminded a plan to put people in relationships with each other. “Viral” isn’t a concept the inventors of YouTube conjured up—God has always determined to utilize the viral nature of human relationships.

God knew we would struggle with this relational thing, even inside the church, so He gave some rather helpful suggestions and guidelines that we often call the “one anothers” of the New Testament.

These may or may not be familiar to you, but try to hear them with the ear of one who is engaging the culture via social media:

  • “Be at peace with each other” (Mark 9:50, NIV).
  • “Love one another” (John 13:34, NIV).
  • “Be devoted to one another. . . . Honor one another” (Rom. 12:10, NIV).
  • “Live in harmony with one another” (v. 16, NIV).
  • “Accept one another” (Rom. 15:7, NIV).
  • “Agree with one another” (1 Cor. 1:10, NIV).
  • “Serve one another” (Gal. 5:13, NIV).
  • “[Forgive] each other” (Eph. 4:32, NIV).
  • “Submit to one another” (Eph. 5:21, NIV).
  • “Encourage each other” (1 Thess. 5:11, NIV).
  • “Spur one another on toward love and good deeds” (Heb. 10:24, NIV).
  • “Pray for each other” (James 5:16, NIV).

This list is only partial, but it’s a good starting checklist as we answer the question, Am I being relational? Part of the redemption story is the beautiful benefit of our being able to relate to one another within the body in a new way.

It’s never been more important to produce quality social media content that people actually want to interact with. How can you use social media to practice the one-another commands at your church?

  • Are your social media platforms an integral part of your ministry strategy?
  • Do you use social media platforms to tell the stories of God’s work in your people’s lives?
  • Do you connect with staff and volunteer teams through the use of social media?
  • Do you lead your teams to connect with others through social media?
  • What social media content are you producing that people most want to share with others?

Using social media is just the latest extension of the New Testament’s one-another ministry. When you as a leader understand and practice social media as a one another ministry, you are well on the way to living out the presence of Christ within your congregation– and it becomes very obvious to those who are connecting to others.

5 Reasons Why Scheduling a Leadership Retreat This Year Will Increase Attendance This Year

When was the last time you experienced a dynamic 2-day offsite retreat that refreshed and refocused your team? This week is a great time to calendar, block, and schedule a retreat with your key leaders.

But some leaders might wonder, “Things are going so well, do we really need to go through the trouble of extra vision and planning days?” It’s a great question. I fundamentally believe that much greater progress can come with actionable reflection. Yet, I thought I would explore the connection between taking time to envision the future and increasing attendance in your church.

Here are five reasons why pausing to plan will result in more people being attracted to your church.

Reason #1: Communicating the retreat that you schedule this week indirectly sets a tone of expectation for ministry results in 2017. This kind of leadership move has a domino effect on the team and your leaders will be more likely to decide and act in ways that link to more people coming. For example, your student ministry director might think ahead on student events so that they are done faster and better. After all, the retreat is coming and his or her ministry will be discussed.

Reason #2: Creating harmony and flow among the leaders who implement ministry makes ministry environments more attractive. Years ago I learned that a perfectly executed worship service with frustrated or burned out leaders isn’t really as much of a “win” as I thought. “Who we are” as we do the ministry is just as important as “what we do” and people attending are adept as sensing the atmosphere.  Taking time to listen, relax and focus on the future will refresh a sense of community that others seeing that community from a distance can feel.

Reason #3: Focusing attention and resources on one area of impact will positively effect the whole system. The idea here is that your church needs one big goal at a time. Even if that goal is not directly aimed to increase attendance, it will likely have a positive impact. The church as the “body of Christ” is a set of systems. Strengthening one part, helps the whole.

Reason #4: Making room to diagnose problems and consider alternative perspectives will create new ideas. Every organization gets stuck in ruts in how they operate. There are always ruts. The only question is, how are you identifying and tackling them? The best idea  for increasing attendance at your church may never come if you don’t create the time and space to birth it.

Reason #5: Resetting the vision is essential for inspiring greatness and creating energy. It’s easy to forget how monotonous ministry is on the front line. What are we ultimately supposed to be doing? Why do we do what we do? Where are we headed as a church? Your leaders ARE asking these questions whether you are aware of it or not. Why not involve them in helping see the future again? Increasing clarity creates energy to get more done and lifts the spirits of the people as they work. Do you think that increasing the energy and enthusiasm of your top 20 leaders will lead to increased attendance this year? You bet it will.

Why Your Email Should Have Been a Meeting

Some meetings could have been an email, but some emails should be meetings. There are times that people, in attempts to handle things efficiently, resort to an email when a meeting would have been more effective. Just because communication is efficient does not mean it has been effective. Sometimes a longing for efficiency can lead to ineffectiveness. Here are three indications an email should have been a meeting.

1. Endless replies

An email is great for sending information or giving tactical and operational direction. It is typically not the best venue for a strategic discussion with a group of people. If there is a seemingly never-ending stream of replies, a meeting would have been better. If you see 43 replies, there is usually more confusion and not everyone has weighed in.

2. Less clarity

If the topic being raised creates more questions than answers, a meeting would have been more effective. If after the long thread of emails there is actually less clarity on the direction, you should have called a meeting.

3. Tone is uncertain

If people are re-reading emails because the tone is uncertain, then surfacing the issue at a meeting would have been more effective. Face-to-face interaction allows for dialogue and enables people to communicate empathy non-verbally.

With emails that should have been meetings, the push for efficiency backfires and actually creates more work. People typically have to circle back to others in an attempt to offer clarity. Team members spend time ensuring their tone was not misread. A lot of side conversations occur, and then it all has to come up again—in a meeting. As much as meetings are lamented, sometimes an email should have been a meeting.

5 Big Benefits of Blogging

I’ve been a sporadic blogger for the past few years. However, my weekly post at ThomRainer.com has created a routine for blogging for which I am grateful. As 2017 begins, I want to encourage you to consider starting (or continuing) a blog next year.

There are several reasons many people begin blogging—many of which can be quite selfish. Fame, prestige, money, or job freedom is not necessarily a bad reason to begin blogging. But if one of those reasons is your driving motivation for blogging, your journey into blogging will be likely short-lived and frustrating. Most bloggers never become famous, most never make money from their site, and most can’t stick with the schedule blogging demands.

All that being said, I do have five positive reasons you really should consider blogging in 2017. If done correctly—and with the proper motivation—maybe a modest amount of prestige and a little side income might come your way as a bonus.

  1. Discipline carries over into other aspects of life. Most new bloggers don’t realize the demands a blog can place on time and creativity. However, once the discipline of blogging is developed, it can benefit you in other aspects of life. Maintaining a blog practically forces you to develop routines and content plans. These routines can be mimicked in your dietary planning, workout regimens, personal discipleship, and relationships. A successful blog may not always mean more page views. Personal growth through the discipline of blogging can be success in and of itself.
  2. Blogging forces you to think more about a subject. We live in a hot take society. There are far too many commentators online and on television who speak before they think. Blogging can help you avoid a hot take mindset if you let it. Yes, some bloggers write before they really think about the words. But many of the most well-known bloggers online put a great amount of thought into their words. To them, every word matters. And the more you think about what you write, the more you grow and develop as a blogger and as a person.
  3. A personal website adds credibility in your professional life. Regardless of your profession, having a professional-looking website helps add credibility. When it comes to dining, we eat with our eyes first. A meal that looks appetizing will psychologically taste better than one that doesn’t—even if it’s the same dish. The same goes with a personal website or blog. If you have an eye-catching site, you will be taken more seriously than if you don’t. This is one of the many reasons I’m a fan of the websites Mere Agency builds. If you’re intimidated about the technical or design work it takes to get a blog running or upgraded, they can help you out.
  4. You network with people you might never have met otherwise. Along with your credibility, your network of friends and acquaintances is likely to grow as you blog. In any given month at ThomRainer.com, we have readers from every country in the world and commenters from many of them as well. There is no way we will ever meet all of our readers or visit every country our readers live in. But the number of people we have met through this site is incalculably greater than it would be if ThomRainer.com did not exist. The same will be the case when you start consistently blogging.
  5. Blogging can accentuate discipleship of the readers. This might be the most important aspect of blogging if you are a pastor. Pastors, you have the opportunity to speak into the lives of your congregation on a more regular basis when you blog. I encourage you to capitalize on the opportunity you have through blogging and use it to further the discipleship of your congregation.
